Customer Services Officer

Responsibilities:

1. Course Administration

  • Prepare and maintain class folders
  • Manage class information/ schedule: open, cancel, delay, start day, end date, term/final test, parents meeting
  • Update parents/ students with course progress
  • Input results
  • Prepare letters/certificates

2. Materials management

  • Forecast and order materials for student
  • Work with Receptionist to prepare materials for new class/ new student

3. Classroom management

  • Room arrangement
  • Change or book room as
  • Manage room schedule, room usage

4. Customer Service

  • Support with organising events/ activities for students
  • Handle students’ requests/ complaints on a daily basis
  • Prepare and do customer survey (via hardcopy form and telesales)
  • Call absence
  • Visit class (For Adult Course)

5. Re-enrolment

  • Update re-enroll status for AC
  • Prepare Letter End Course

6. Student report

  • Translate unit summary/ student report
  • Check and work with teacher to make sure it could be sent to parents on time

7. Operation

  • Support to implement department map/ job description
  • Support to develop, maintain, control and improve working processes
  • Follow company planning and reporting system

8. Manage student folder

  • Update student list daily
  • Manage enrolment document
  • Update and manage student information
  • Check and follow up all requests till the end
  • Manage transfer fee/transfer class/save fee document

9. Other tasks assigned by CM

Qualifications & Skills

  • Undergraduate, qualifications in English and education are preferred
  • Experience working in customer service or administration in foreign invested companies
  • College/University graduated is an advantage
  • Comunication skill
  • Problem solving skill
  • Good communication and persuasion skills
  • Excellent interpersonal skills
  • Team player, interacts well with people of all levels
  • Strong sales and customer service focus

Language

  • Fluent in Vietnamese; English fluency is an advantage

Other requirements

  • Age range: 21 to 30
  • Well presented
  • Enthusiastic, professional and well-organized
  • Ability to work independently as well as in a team 
  • Available for shift working
  • Ability to work under high pressure
  • Outgoing personality and self-motivated

Academic Consultant

Responsibilities

1. Handle product presentations and sales activities 
  • Introduce the company
  • Clarify customers’ needs 
  • Deliver product presentations
  • Deliver payment options 
  • Close sales
2. Handle student enrolment
  • Sign up students for courses
  • Arrange payment for courses
  • Check the inquiries
  • Arrange class transfers
  • Arrange school fee refunds
  • Arrange school fee savings
  • Assign classes and level placement for students
  • Follow up outstanding payment of students
3. Handle customer care activities
  • Handle customer complaints, customer requests
  • Update and follow up Customer Complaint Resolution Records
  • Update waiting lists
  • Follow up deposits
  • Do the telesales
  • Email to customers as requested
4. Handle customer payment 
  • Receive customer payments
  • Hand over cash balance to ACC
5. Administration tasks
  • Manage students’ documents
  • Make reports: Visit, New Sales, Summer Courses…

Perfomrmance KPIs

  • Sales: 50%
  • Revenue: 40%
  • Re-enrolment: 10%

Qualifications & Skills

  • Good product knowledge
  • Good sales skills
  • Sales orientation
  • College/University graduated is an advantage
  • Sales experience, including in counselling, advising and customer service 
  • Good communication and persuasion skills
  • Excellent interpersonal skills
